COORDINATOR

Gasoline Alley Farmers’ Market is looking for a friendly, detail-oriented and highly organized Market Services Coordinator to help keep the market’s day-to-day information, communications and administrative processes running smoothly. This is a customer-facing role for someone who is equally comfortable welcoming visitors and answering questions as they are working behind the scenes to keep records, communications and operational details organized.

You will manage the Market Information Desk and serve as a central point of contact for customers, vendors and the market team.

What you'll do

  • Manage the Market Information Desk and provide friendly, knowledgeable assistance to customers and vendors.
  • Welcome visitors, answer questions and help create a positive first impression of the market.
  • Manage incoming phone calls and emails and respond to general market and vendor inquiries.
  • Maintain vendor records, contact lists, forms, schedules and shared administrative files.
  • Respond to initial vendor and pop-up vendor inquiries and guide applicants through the appropriate process.
  • Assist with vendor onboarding, documentation, communications and ongoing recordkeeping.
  • Support vendor invoicing and related recordkeeping using QuickBooks.
  • Use Google Workspace to maintain documents, spreadsheets, schedules and shared information.
  • Manage the market’s loyalty program, including cards, stamps, gift certificates and program records.
  • Keep informational signage, forms, vendor lists and Information Desk materials accurate, stocked and up to date.
  • Serve as the primary contact for the market’s cleaning team, communicate concerns and follow up on required work.
  • Support the General Manager, Marketing Coordinator and Market Experience Coordinator with communications, administrative tasks and special projects as needed.
  • Record operational issues and direct them to the appropriate team member.
  • Notice when something needs attention and take initiative to keep shared spaces welcoming and organized.

Requirements and Experience

You’ll be a great fit if you:

  • Are outgoing, approachable and comfortable speaking with customers and vendors.
  • Have experience in customer service, office coordination, reception, recordkeeping or a similar role.
  • Are highly organized and able to manage interruptions without losing track of important details.
  • Have strong written communication skills and professional phone and email etiquette.
  • Are confident using email, shared calendars, spreadsheets and digital filing systems.
  • Have experience with Google Workspace.
  • Have QuickBooks experience or are willing to learn. Previous QuickBooks experience is considered an asset.
  • Can handle vendor and operational information professionally and discreetly.
  • Are dependable, adaptable and comfortable working as part of a small, collaborative team.
  • Can work Thursday through Sunday, including occasional extended hours when market operations require them.

MARKET EXPERIENCE

COORDINATOR

Gasoline Alley Farmers’ Market is looking for a friendly, creative and highly organized Market Experience Coordinator to help make every visit to the market welcoming, engaging and memorable. This is a hands-on, customer-facing role for someone who enjoys connecting with people, developing ideas and bringing activities to life.

You will coordinate events, seasonal programming and on-site promotions while also serving as one of the friendly faces at our Market Information Desk.

What you'll do

  • Plan, coordinate and deliver market events, seasonal activities and customer experiences.
  • Coordinate event logistics, including participating vendors, performers, community partners, supplies, signage, setup and takedown.
  • Develop ideas for workshops, family activities, seasonal programming and other opportunities that encourage people to visit and enjoy the market.
  • Oversee on-site activities and promotions to ensure they run smoothly and create a positive experience for customers and vendors.
  • Welcome and support pop-up vendors during arrival, setup and market days.
  • Work closely with the General Manager, Marketing Coordinator, Market Services Coordinator and market vendors to bring events and promotional initiatives to life.
  • Identify content opportunities connected to events and ensure promotional materials and signage are in place.
  • Gather feedback and help evaluate events and activities for future improvement.
  • Provide friendly, knowledgeable customer service at the Market Information Desk when not coordinating events or activities.
  • Provide backup coverage for the Market Services Coordinator.
  • Take initiative when something needs attention and help keep customer and event spaces welcoming, organized and engaging.

Requirements and Experience

  • Have experience in event planning, coordination, community programming or on-site event delivery.
  • Can manage multiple timelines and details while following through without constant direction.
  • Are creative, resourceful and comfortable taking an idea from planning through execution.
  • Communicate clearly and professionally with vendors, performers and community partners.
  • Are comfortable using Google Workspace or similar digital planning tools.
  • Are willing and able to assist with physical event setup and takedown.
  • Can work Thursday through Sunday and are available for occasional early starts or extended hours around major market events. phone and email etiquette.
